Job Summary
Provide comprehensive administrative support to management, ensuring smooth daily operations, effective communication, and compliance with company policies.
Responsibilities
- Manage daily administrative operations to support management and ensure clear communication and execution of company directives
- Prepare, receive, distribute, maintain, and archive company documents, contracts, correspondence, and official records accurately
- Organize meetings by scheduling, preparing materials, and drafting meeting minutes and reports to facilitate decision-making
- Screen candidates, coordinate onboarding, manage work pass applications, and arrange insurance to support recruitment processes
- Oversee office assets and supplies to maintain efficient office administration and resource availability
- Translate and proofread documents, correspondence, contracts, and speeches in English and Chinese to ensure accuracy and clarity
- Provide interpretation support during meetings and business discussions to enable effective communication
- Liaise with local government agencies and external organizations to handle administrative matters and ensure compliance
- Review administrative invoices, collect supporting documents, and process reimbursements and payments promptly
- Execute additional duties and assignments as directed by the company and management to support operational needs
Preferred competencies and qualifications
- Bachelor's degree or equivalent, preferably in Business Administration, English, Translation, Human Resources, Accounting, or related fields
- Excellent bilingual proficiency in English and Chinese (spoken and written) with strong translation and communication skills to prepare business correspondence and liaise with Chinese-speaking counterparts
- Familiarity with Singapore regulations and procedures related to work passes, immigration, and residency matters is advantageous
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and common office tools to support administrative tasks
- Detail-oriented and well-organized with the ability to manage multiple tasks simultaneously
- Strong interpersonal, communication, and coordination skills demonstrating professionalism and confidentiality
- Possession of a valid Singapore driving licence is an advantage
