Job Description

Business Sweden is seeking a highly organized and initiative-taking Administrative Executive to support our Vice President APAC and the Singapore operations. This role is wellsuited for someone who enjoys taking ownership of administrative processes, thrives in a dynamic international environment, and consistently delivers highquality support with professionalism and discretion.

As an Administrative Executive at Business Sweden, you will manage a broad range of responsibilities and play a key role in ensuring smooth operations across the APAC region. You will serve as a trusted support partner to the VP APAC and the Singapore office, overseeing administrative coordination, financial administration, office support, and proactive management of information flows.

Key Responsibilities:

  • Manage complex calendars, schedule meetings across multiple time zones, and coordinate internal and external appointments.
  • Organize business travel for the VP APAC and visiting executives.
  • Serve as the first point of contact for internal and external stakeholders, ensuring timely communication and professional representation of the APAC office.
  • Prepare presentations, reports, and meeting materials in PowerPoint and Excel.
  • Oversee daily office administration and ensure efficient business support operations of the Singapore office.

Requirements:

  • Relevant educational background, e.g., diploma or bachelor's degree in Business Administration, Business Management, or equivalent.
  • At least 5 years of administrative or executive assistant experience, preferably supporting senior management.
  • Experience working in international environments or multistakeholder settings is highly valued.
  • Strong skills in MS Excel and PowerPoint familiarity with financial or HR administrative processes is an advantage.
  • High level of proficiency in English (written and spoken) additional languages are a plus.
  • Exposure to international or cross-cultural environments is an advantage.
  • Demonstrate integrity, commitment, and accountability in all tasks.
