We are seeking a highly organized and detail-orientedAdmin Assistantto join our Business Management Team. As an Administrative Assistant, you will play a crucial role in supporting the daily operations of our company. You will work closely with various teams and individuals to ensure efficient office management, document handling, and communication. The ideal candidate will be detail-oriented, proactive, and capable of multitasking in a fast-paced environment.

Make an Impact by

  • Raise Service Orders/Purchase Orders/Serivce Entry/Good Receipt in SAP and Ariba /Billing Request for recovery of Singtel board reps airticket/misc spendings
  • Such as legal and consultancy fees/ invoices for project work/ invoices for events /courier fees such as DHL invoices etc.

  • System work: SAP - vendor etc /Ariba - IBUY system/ BPC System for Budgetting /E-workflow /Waiver of competition/ Vendor quotation system etc.
  • Supporting all secondees matters for Telkomsel and Globe.
  • Recovery cost of airticket claims for Singtel Board reps and any other misc claims from Globe and Telkomsel.
  • Process all claim expenses for Business Management teams.
  • Overseas business trips - Booking of air tickets, preparation of visa, pre-trip approval form, reservation of hotels and transport arrangements etc
  • Taking care of all assets in Business Management such as tracking and keeping records of ownership of all inventorised items such as mobile phones and laptops.
  • Onboarding of new hires, seating arrangements and exit arrangements for leaving staff eg returning of all assets.
  • Preparing for events or VIP visits including but not limited to making arrangements and liasing with security for passes, preparations of venues, form filling for events, seeking approval request from Property, transport arrangements, arranging for catering, buying of snacks and refreshments as and when required for meeting attendees, guests or VIPs.
  • Assist Business Management teams with departmental budgeting process including but not limited input into BPC system. Budget tracking as when required by directors.
  • Any other duties assigned as and when required.

Skills for Success

  • Min. GCE O Level or equivalent
  • At least 3 years of relevant working experience in admin support
  • Working knowledge of IT software including SAP and proficient in Microsoft Office applications e.g. Excel and Word
  • Multi-tasking and able to work independently with min supervision.
  • Team player
  • Good communications skills
