Job Description
The Administrative Assistant supports NOV Digital Completions Solutions (DCS) by providing administrative, sales, and customer service support to ensure accurate order processing, regulatory compliance, and a high level of customer satisfaction. This role assists with compliance screening, order entry and revisions, customer setup and maintenance, and CRM dashboard support.
Working closely with Sales and internal teams, the Administrative Assistant helps maintain accurate records, process license agreements, assist with accounts receivable activities, and provide backup coverage as needed. Strong organizational skills, attention to detail, effective communication, and flexibility to support on-call rotations and switchboard coverage are essential to supporting NOV DCS's commitment to operational excellence and customer-focused solutions.
Responsibilities
- Assist with visual compliance screening on quotes and orders, including screening for sanctioned country and end user data.
- Evaluate, process, and maintain customer key request and the database.
- Assist with quotations as needed.
- Assist with input of new clients; including tax information and updating existing clients.
- Participate with on-call rotation schedule for daily, weekend, and holiday customer requirements.
- Monitor, maintain, and troubleshoot CRM dashboards to ensure proper functionality, data integrity, and alignment with business needs.
- Maintain accurate records with excellent organizational skills.
- Switchboard phone relief weekly or as required during absences and vacations.
- Promote effective communication with internal and external organizations and customers.
- Process and track license agreements monthly.
- Perform other duties as assigned.
Requirements
- Any Bachelor's degree.
- Minimum of two years previous related work experience.
- Understanding of ERP system operations and function is preferred.
- Strong computer skills with a firm understanding of both computer hardware and software (including MS Office Excel, Word, MS Project, and Adobe).
- Excellent communication skills, including problem resolution and motivational skills.
- Ability to work with a diverse group of employees and departments.
