LXO AI is a newly established private limited company looking for a highly organized, reliable, and detail-oriented Administrative Assistant to join our growing team. In this role, you will support our daily operations, ensuring our workspace runs smoothly and efficiently. The ideal candidate is a proactive problem-solver with excellent communication skills who thrives in a collaborative, innovative startup environment.

Key Responsibilities

  • General Administration: Handle day-to-day administrative tasks, including answering and directing phone calls, managing the company's general email inbox, and responding to business inquiries.
  • Scheduling & Coordination: Manage calendars, schedule internal and external meetings, and organize company events or team-building activities.
  • Document Management: Prepare, organize, and file digital and physical documents, contracts, and reports. Ensure all company records are kept confidential and secure.
  • Office/Workspace Management: Monitor and replenish office supplies, manage vendor relationships, and ensure the workspace is well-maintained. (For remote: Manage virtual workspaces, software subscriptions, and cloud storage).
  • Team Support: Assist the management team and staff with ad-hoc administrative tasks, travel arrangements, and project coordination as needed.
  • Data Entry: Input and update business data in company databases, spreadsheets, or CRM systems accurately.

Requirements & Qualifications

  • Education: GCE O Level, NITEC, Higher NITEC, Diploma, or equivalent qualifications.
  • Experience: At least 1-2 years of relevant experience in an administrative, clerical, or office support role. (Note: You can state Entry-level candidates with a strong willingness to learn are welcome to apply if you are open to fresh graduates).
  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google Workspace (Docs, Sheets, Drive). Comfortable adapting to new software and digital tools.
  • Communication: Proficient in spoken and written English to effectively handle business communications, draft emails, and liaise with external vendors and clients. (Note: Under TAFEP, if another language is strictly required for business reasons, e.g., Ability to converse in Mandarin to liaise with Mandarin-speaking clients, you must state the business justification clearly).
  • Organizational Skills: Strong time-management skills, attention to detail, and the ability to multitask and prioritize work effectively.
  • Attributes: A proactive team player with the ability to work independently with minimal supervision.
