Job Description

We are looking for a proactive and organised Administrative Assistant to support our Organisation Development (OD) team in delivering employee engagement initiatives, staff events, and day-to-day administrative operations.

This role is ideal for someone who enjoys coordinating events, managing administrative processes, and working with diverse stakeholders across the organisation in a fast-paced environment.

Responsibilities

Event Coordination & Logistics

  • Support the planning and execution of internal staff events, workshops, and engagement activities.
  • Coordinate event logistics, including venue setup, registration, attendance tracking, and event materials.
  • Provide on-site support to ensure smooth event operations and participant experience.

Vendor & Procurement Coordination

  • Liaise with vendors on event arrangements, quotations, deliveries, and event requirements.
  • Assist with procurement processes, including raising purchase requests and monitoring approval status.
  • Track vendor deliverables and follow up to ensure timelines are met.

Administrative Support

  • Provide administrative and operational support to the OD team.
  • Maintain and organise records, event documentation, invoices, and attendance data.
  • Assist with meeting coordination, scheduling, and preparation of meeting notes.

Data & Reporting Support

  • Consolidate event participation, feedback, and survey results.
  • Support basic reporting and tracking of attendance, engagement metrics, and event expenses.

Requirements

  • Prior experience in administrative, operations, or event coordination roles is preferred.
  • Strong organisational skills with a keen eye for detail.
  • Ability to manage multiple tasks and work effectively with different stakeholders.
  • Good communication and interpersonal skills.
  • Proficient in Microsoft Office applications, particularly Excel, Word, PowerPoint and Outlook.
  • Proficient in Canva for creating event publicity materials, presentation slides, and simple communications collateral.
  • Able to commit for the duration of the temporary assignment (for a period of 6 months from July 2026 - Dec 2026).
