Job Description: Administrative Assistant for Asia BU (Business Unit) Team
Location: Singapore
Reports To: ABU People Lead
Position Purpose
The Administrative Assistant is responsible for supporting the functional leads based in Singapore, including but not limited to Human Resource and Finance.
Key Responsibilities
Administrative Responsibilities:
- Assist with office management duties for the MGFL Office
- Support with set-up of ABU and MGFL events and celebrations
- Coordinate meetings for team
- Manage Corporate Card application, termination, maintenance, autopay service, and related enquiries
- Administrator of Expense System, including set up and termination of accounts, and related enquiries
- Support with vendor management, purchase orders and finance invoices
- Any other day-to-day administrative duties as tasked
EA Responsibilities:
- Arrange travel logistics for functional leads
- Prepare expenses reports for functional leads
- Calendar scheduling for functional leads
- Additional duties or special assignments as tasked
Requirements
- At least 5 years experience in providing administrative support to a team
- Strong organizational skills and detail-oriented
- Project and event management experience
- Good social and communication skills
- High level of competency in MS Office
- Excellent written and oral English skills
- Able to manage confidential data with discretion
- Possess cross cultural sensitivities
- Self-starter with high adaptability
