Job Summary
We are seeking a proactive and detail-oriented Administrative Assistant to support daily office operations and assist in the planning and execution of education programs.
Responsibilities
- Manage daily administrative tasks and maintain an organized and efficient office environment
- Create and update program registration forms by monitoring sign-ups, maintaining attendee lists, sending timely reminders, and responding promptly to participant inquiries
- Coordinate event logistics including venue bookings, schedule management, catering arrangements, procurement of materials, and vendor communications to ensure seamless program delivery
- Liaise with partner institutions through calls, emails, and WhatsApp to facilitate smooth program coordination and collaboration
- Provide general administrative support by filing documents, scheduling meetings, and setting up virtual calls via Zoom or Teams to enable effective team collaboration
- Support project closure activities and assist with budget submissions to ensure thorough program evaluation and financial accountability
Preferred competencies and qualifications
- Diploma or degree in Business Administration, Communications, or a related field with 2-3 years of experience in event management, administration, or education-related roles
- Proficiency in Microsoft Office (Excel, Word, PowerPoint) and social media platforms
- Strong attention to detail and a proactive approach to enhance program quality and office efficiency
- Excellent organizational and time management skills to manage multiple tasks and meet deadlines effectively
