Role Overview
The Administrative and Accounts Executive provides essential support to the Corporate Services Manager in administrative, finance, compliance, and operational matters. This role is crucial in ensuring smooth daily operations and effective coordination across the organisation's functions.
Key Responsibilities
1. General Administration & Compliance
- Assist the Corporate Services Manager in administrative functions, including HR documentation, insurance, banking, grant applications, and compliance reporting.
- Support external and internal audits and maintain proper documentation for regulatory submissions.
2. Finance & Accounting Support
- Record and track expenses with supporting documents.
- Prepare payment vouchers for monthly review and signing by Directors.
- Ensure timely payments to suppliers, staff, and other parties.
- Liaise with the outsourced accounting firm for monthly closing, bank reconciliations, and year-end audit matters.
3. Fundraising & Donor Administration
- Support fundraising functions, including maintaining accurate donor and donation records in the organisation's e-database management system.
- Generate and issue donation receipts and reports.
4. Inventory & Office Operations
- Manage stock-taking and movement records for merchandise and mobility aids.
- Oversee office supplies, vendor liaison, and general upkeep of the office environment.
5. Other Duties
- Provide administrative support to the organization.
- Undertake any other reasonable ad hoc duties as assigned.
Who We're Looking For
- A detail-oriented and organised individual with strong administrative and coordination skills.
- Comfortable working in a small organisation, where adaptability and a hands-on approach are essential.
- Enjoys a multi-faceted administrative role and is able to manage a variety of tasks across functions.
- Able to work both independently and collaboratively in a team.
- Comfortable using digital systems and platforms, particularly for donor and donation management.
- Prior experience in a non-profit organisation will be advantageous.
- Experience in managing donor records and issuing donation receipts, particularly within an IPC (Institution of a Public Character) organisation, will be a strong bonus.
