Job Summary

Join Practical Mediscience as an Administration Manager to lead administrative, accounts, and logistics functions, ensuring smooth daily operations and supporting business growth in a dynamic environment.

Responsibilities

  • Oversee daily administrative operations to ensure efficiency and compliance with company policies
  • Manage documentation, filing systems, and data records accurately and confidentially
  • Supervise and guide administrative staff to complete tasks effectively
  • Implement process improvements to enhance administrative workflow
  • Process and oversee invoices and delivery orders accurately to ensure timely product/service delivery
  • Plan delivery schedules and coordinate with warehouse, logistics teams, and customers to ensure smooth delivery
  • Monitor inventory availability and liaise with warehouse or procurement teams as needed
  • Coordinate deliveries ensuring all documentation (e.g., delivery orders, invoices) is complete and accurate
  • Perform data entry, filing, and document management tasks efficiently
  • Support administrative duties assigned by the Finance Admin Director, including ad-hoc tasks
  • Provide excellent customer service by maintaining positive client relationships and updating on order status or shipment issues
  • Manage purchase orders by creating, tracking, and following up with suppliers to ensure timely procurement
  • Coordinate incoming and outgoing shipments to guarantee timely delivery
  • Verify goods received and perform goods receipt processes accurately
  • Liaise with vendors and logistics providers to ensure cost-effective and efficient operations

Preferred competencies and qualifications

  • Diploma Certificate
  • Previous experience in an administrative or secretarial role
  • Proficient in Microsoft Office suite, particularly Excel and Word
  • Strong organisational and time management skills to prioritise tasks effectively
  • Excellent communication and interpersonal skills with a customer-focused approach
  • Ability to work independently and collaboratively as part of a team
  • Keen eye for detail and ability to maintain accuracy under pressure
