We are seeking a dedicated and detail-oriented Admin Support Executive to support administrative and operational support to ensure smooth business functions. This role includes handling basic finance tasks, coordinating logistics, managing inventory records, and supporting invoicing and collections processes.
Key Responsibilities
Administrative Support
- Provide general administrative support to the Finance & HR Manager and the wider team
- Maintain proper documentation and filing systems (physical and digital)
- Handle correspondence, data entry, and record-keeping
Finance& Accounting Support
- Assist with preparation of quotations, Sales orders and issuance of invoices
- Support accounts receivable functions, including follow-up on collections (prepare and send out SOA to customers)
- Perform basic finance administrative tasks such as data entry and reconciliation support
Logistics& Operations
- Coordinate delivery schedules and logistics arrangements with suppliers and customers
- Liaise with internal and external stakeholders to ensure timely order fulfillment
- Prepare and process delivery orders and related documentation
Inventory Management
- Track stock movements (inbound and outbound)
- Maintain accurate inventory records and update stock systems
- Assist in periodic stock checks and inventory audits
Requirements
- Minimum ITE Nitec or Diploma in Business Administration, Accounting, Logistics, or related field
- At least 3-5 years of relevant working experience in administrative, logistics, or basic accounting roles
- Proficient in Microsoft Office (Excel, Word)
- Good organizational and time management skills
- Detail-oriented with strong accuracy in data handling
- Good communication and interpersonal skills
- Ability to work independently and as part of a team
Preferred Attributes
- Experience in medical, aesthetic, or healthcare-related industry is a plus
- Familiarity with inventory or accounting systems
- Proactive attitude with willingness to learn
Working Hours & Arrangement
- Monday to Friday, 9:00 AM to 6:00 PM
- Fully office-based role (no work-from-home arrangement)

Salary & Benefits
- Monthly salary range: SGD $2,500 - $3,200, commensurate with experience and qualifications
