We are looking for an organized and detail-oriented Administrative Assistant to support our day-to-day operations and help drive business efficiency.
Key Responsibilities:
1. General Administrative Support:
- Provide day-to-day administrative and clerical support to the operations and property management teams.
- Maintain and organize filing systems (digital and physical) for tenancy agreements, invoices, and vendor documents.
- Handle incoming calls, emails, and general enquiries professionally and efficiently.
2. Document & Data Management:
- Prepare and update tenancy documents, service contracts, and reports.
- Maintain accurate records of resident information, contracts, maintenance logs, and vendor lists.
- Assist with data entry and the upkeep of property management software or CRM tools.
3. Coordination & Scheduling:
- Schedule meetings, property viewings, and appointments for team members.
- Assist with coordination between residents, contractors, and the internal operations team.
- Help in organizing check-in/check-out processes and preparing welcome packs for new tenants.
4. Finance & Procurement Support:
- Support in basic bookkeeping tasks such as invoice tracking, petty cash handling, and monthly expense submissions.
- Coordinate with vendors and suppliers for procurement of office or property supplies.
- Assist the finance team with document collation for billing, payment, and reconciliation.
5. Office & Operations Assistance:
- Support the smooth running of daily office operations, including ordering supplies and coordinating deliveries.
- Help organize team events, property inspections, or resident community activities when needed.
Requirements:
Education & Experience:
- GCE O/A Levels, Diploma or Degree in Business Administration, Office Management, Real Estate, or related field.
- 1-3 years of relevant administrative experience, preferably in property management, real estate, or hospitality.
Skills & Competencies:
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) knowledge of Google Workspace is a plus.
- Experience with CRM or property management systems (e.g., Salesforce, Yardi, or similar) is advantageous.
- Strong organizational and time management skills with attention to detail.
- Good written and verbal communication skills.
- Ability to work independently and as part of a dynamic team.
- Familiarity with basic tenancy processes and residential property documentation is a plus.
