Job Description

Today it has grown into one of Singapore's leading logistics management service providers and a highly regarded company with a broad-based clientele that ranges from large local companies to multinational companies.

The Role

The Admin Officer will provide administrative support to the Vehicle Maintenance Department, ensuring accurate fleet records, timely vehicle-related regulatory renewals, effective coordination with internal stakeholders and external vendors, and proper documentation of vehicle maintenance activities.

1. Source quotations for vehicle parts, tools, and other workshop requirements.

2. Maintain accurate and up-to-date parts inventory records.

3. Ensure all parts issued and used by workshop technicians are properly recorded and accounted for.

4. Raise request forms for equipment repair and maintenance works.

5. Coordinate and perform road tax and COE renewals in a timely manner.

6. Monitor VPC quota and expiry dates and liaise with LTA and relevant parties to facilitate VPC renewal.

7. Liaise with authorized workshops on accident reporting and vehicle repairs. Provide the required insurance certificate, log card, and relevant documentation for incident reporting.

8. Maintain proper and up-to-date records of incident reports and supporting documents for insurance claims.

9. Maintain and update the Vehicle & Equipment List to ensure all records are accurate and current.

10. Assist in obtaining quotations and work with the relevant Business Unit (BU) to prepare proposals for the purchase or disposal of vehicles.

11. Monitor vehicle and equipment rental lease expiry dates and assist the relevant BU with lease renewal arrangements.

12. Prepare the department's monthly report on vehicle and equipment purchases and disposals.

13. Monitor vehicle and equipment utilization rates and highlight underutilized assets for management's review.

14. Assist in following up with the relevant BU and Purchasing Department to collate and compile documents required for vendor evaluation.

15. Any other duties as assigned

Requirement

1. Nitec /WSQ-recognized certificate

2. Competent in MS Words / Excel

3. 2 years relevant experience in vehicle maintenance admin preferred
