The Whole Kitchen is a healthy gluten free bakery in Singapore. We are looking to grow our team and business and are looking for a full time Admin Manager to support our Administration & Logistics department.
Job description & Key responsibilities:
- Oversee daily office operations (supplies, documentation, filing systems)
- Manage contracts, vendor agreements, and insurance
- Coordinate internal communications across departments (production, QA, sales)
- Maintain company records, licenses, and permits
- Work closely with production team
- Monitor inventory levels (raw materials, packaging, finished goods)
- Coordinate procurement of gluten-free ingredients
- Support logistics and delivery coordination
- Maintain documentation for audits and inspections
- Keep records of batch production, traceability, and recalls
- Process customers invoices, purchase orders, and adhoc expense tracking (if any)
- Source and negotiate with suppliers (especially certified gluten-free vendors)
- Manage stock ordering and delivery timelines
- Support expansion (new outlets, new product lines)
- Improve internal processes and SOPs
- Assist management in operational planning and efficiency improvements
- Maintain documentation for audits and inspection (Halal and ISO certifications)
Candidate must have following skills:
- be a team player but also be able to work autonomously
- have good English written and communication skills
- Computer literate, including Microsoft excel skills
- have good attention to detail
- Well organized
- Past experience in admin/logistics, or working in food business is an advantage.
- An interest in food, health and wellness a bonus!
Additional info:
- 5 days work per week
