Role Overview
The Admin Manager is responsible for overseeing and managing the company's administrative, office management, and support functions to ensure smooth daily operations. This role acts as a key support to management and works closely with HR, Finance, and Operations teams to maintain efficiency, compliance, and a well-organised workplace.
Roles & Responsibility
Administrative & Office Management
Oversee day-to-day administrative operations to ensure smooth and efficient office functioning.
Manage office facilities, equipment, supplies, and vendors (e.g. building management, maintenance, pantry, stationery).
Ensure proper documentation, filing systems, and record-keeping practices are maintained.
Handle general correspondence, contracts, and administrative coordination.
HR & People Support (Administrative Scope)
Support HR administration including onboarding and offboarding processes.
Coordinate work passes, employment documentation, and liaison with MOM or relevant authorities.
Maintain employee records, leave tracking, and HR databases.
Support company events, staff activities, and internal communications.
Finance & Procurement Support
Assist with administrative finance matters such as invoice processing, payment tracking, and expense claims.
Coordinate with finance teams or external accountants on administrative documentation.
Manage procurement processes for office-related purchases and services.
Policy, Compliance & Governance
Ensure compliance with company policies, internal controls, and regulatory requirements.
Support audits by preparing and maintaining administrative records and documentation.
Assist in reviewing and updating administrative policies and procedures.
Management & Coordination
Act as a key point of contact between management, staff, and external parties.
Provide administrative support to senior management as required.
Identify opportunities to improve administrative processes and operational efficiency.
Supervise and guide administrative staff, if applicable.
Requirement:
Diploma or Bachelor's degree in Business Administration, Management, or related fields.
At least 3-5 years of relevant administrative or office management experience, preferably in a manufacturing or engineering environment.
