1.Administrative & Office Operations
. Handle daily office administrative work and ensure smooth office operations.
. Manage quotations, invoices, purchase orders, delivery orders, and other documents.
. Maintain proper filing system for all company documents (hardcopy and softcopy).
. Answer phone calls, emails, and communicate with clients, suppliers, and site workers.
. Coordinate with site supervisors for work schedules and document support.
. Prepare basic reports for management when required and Ensure all administrative work is completed accurately and on time.
2. Site Material Coordination & Store Management
. Arrange and coordinate materials for all project sites strictly according to approved site orders.
. Ensure timely delivery of materials to prevent project delays.
. Maintain proper documentation of materials issued to sites.
. Fully manage store room operations including:
o Recording daily material IN & OUT transactions
o Monitoring stock levels
o Conducting periodic stock checks
o Ensuring proper storage and systematic arrangement
. Report immediately on any stock discrepancies, shortages, or damages.
3. Workforce Administration & Compliance Monitoring
. Maintain complete and updated worker profiles (personal data, permits, employment records).
. Prepare and monitor monthly worker attendance records accurately.
Safekeep and manage all worker documents data like CSOC certificates, Passports, Work permits, Safety certificates and Any mandatory compliance documents
. Closely monitor expiry dates of all certificates and official documents.
. Proactively arrange renewals well before expiry to ensure zero disruption to site operations.
. Ensure full compliance with government regulations and site safety requirements at all times.
4. Recruitment & New Worker Onboarding (Full Process Management)
. Monitor manpower requirements and promptly identify worker shortages.
. Arrange and coordinate interviews when recruitment is required.
. Handle full onboarding process for new workers, including:
o Arrangement of dormitory accommodation
o Pre-housing coordination
o Worksite onboarding procedures
o Preparation and submission of required documentation
. Coordinate and arrange PCP, medical check-ups, and any required assessments.
. Ensure all documents are properly compiled and approved before site deployment.
. Maintain strict compliance with Ministry of Manpower regulations.
5. Accounts & Reporting
. Track payments and follow up on outstanding receivables.
. Assist in preparing monthly operational and administrative reports.
. Maintain accurate and audit-ready records at all times.
Strict Requirements
. Diploma or Degree in Business Administration, Accounting, or related field experience.
. Minimum 3-5 years experience in construction, engineering, or air-conditioning industry.
. Strong knowledge of manpower compliance and government submission procedures.
. Experience handling MOM-related matters is mandatory.
. Strong knowledge in inventory/store management.
. Advanced proficiency in Microsoft Excel (formulas, tracking sheets, reporting).
. Able to handle high workload with minimal supervision.
. Strong attention to detail and high accountability.
. Willing to work overtime when required.
