Job Description

Responsibilities:

  • Oversee comprehensive administrative duties, including but not limited to:
  • Managing office supplies, pantry, and sanitary provisions, etc.
  • Coordinating with external vendors such as security, cleaning, transport, and other service providers, supervising their duties, and renewing contracts as necessary
  • Handling reception duties for office guests
  • Budgeting and monitoring administrative expenses to ensure they remain within budget and processing payments promptly
  • Renewing required government licenses for respective departments and individuals
  • Managing Jurong Island Visitor Pass applications for HQ visitors, clients, or other guests
  • Maintaining an efficient filing system for all office administrative documents
  • Keeping a database of contacts and email lists updated
  • Preparing Purchase Orders
  • Issuing items to new staff, such as ID tags, lockers, uniforms, computers, and work desk arrangements
  • Managing the company's Corppass account
  • Providing support for company-related events and handling ad-hoc assignments/tasks as needed
  • Responsible for all aspects of recruitment process, including sourcing, screening, interviewing and selection of potential candidates
  • Conduct new hires onboarding (Appointment, confirmation), resignation off boarding
  • Review and revise HR & Admin policies, regulations and procedures periodically
  • Administer disciplinary actions and attend to disciplinary sessions where necessary
  • Preparation of monthly payroll processing (Timesheet, CPF Contribution and Yearly IR8A Form)
  • Assist in preparation of yearly budget
  • Provide expatriate support eg. accommodation arrangement, orientation, salary, income tax, repatriation, etc
  • Any other adhoc HR/Admin duties as assigned by Managing Director and HR & Admin Manager

Requirements:

  • Must possess at least a Diploma or an equivalent qualification
  • At least 5 years of comprehensive HR, Admin/General Affairs experience supervisory experience is advantageous
  • Proficiency in MS Office (Word & Excel), Power Point
  • Able to communicate and build good relationship with both internal and external stakeholders as a team player
  • Able to work under pressure with the ability to prioritize tasks effectively
  • Working experience in Manufacturing, especially Chemical manufacturing is advantageous
