Job Summary

You will manage office administration, support recruitment and employee onboarding, handle company certifications, coordinate training and compliance, and maintain accurate employee records to ensure smooth HR and operational processes.

Responsibilities

  • Respond to phone calls, manage incoming mail, and coordinate courier services to support office communication
  • Requisition stationery and pantry supplies and maintain office equipment and facilities to ensure a functional work environment
  • Manage company certifications such as BCA, SLOTS, SCDF, ISO, and BizSafe to maintain regulatory compliance
  • Assist recruitment by placing job advertisements, shortlisting candidates, scheduling interviews, and preparing employment contracts and appointment letters
  • Update and maintain employee databases accurately and promptly to support HR record-keeping
  • Track and support employee appraisals, contract renewals, and work pass renewals to ensure timely compliance
  • Handle full employment application processes for Work Permits, S Pass, Employment Pass, Dependent Pass, and manage NTS workers repatriations and air ticket arrangements
  • Coordinate employee onboarding and offboarding processes to facilitate smooth transitions
  • Arrange employee training courses and coordinate development programs to ensure all required certifications and licenses are obtained for audits and regulatory compliance
  • Manage workers dormitory arrangements, update residential addresses via MOM, OFWAS, Coretrade, and handle levy waivers and medical checkups to comply with regulations
  • Verify and process medical claims related to Work Injury Compensation and Foreign Workers Medical Insurance to ensure accurate claims handling
  • Maintain an efficient filing system for internal, external, and confidential documents to support document management
  • Generate monthly reports and manage all relevant documentation to provide accurate operational insights
  • Monitor changes in statutory HR regulations and ensure company compliance with legal requirements
  • Perform other ad-hoc duties as assigned by management to support business needs

Required competencies and certifications

  • Minimum Secondary/ITE/Diploma education level
  • Minimum 3 years of relevant working experience
  • Proficiency in Microsoft Office applications

Preferred competencies and qualifications

  • Experience in construction or process sectors is advantageous
  • Attention to detail and meticulous work approach
