Job Description

Key Responsibilities

1. Administrative & Office Support

  • Handle general office administration, including filing, data entry, and correspondence

  • Prepare and format letters, memos, reports, and internal documents

  • Manage incoming calls, emails, and office communications

  • Maintain orderly and up-to-date administrative records and databases

  • Provide administrative support to management and operational teams

2. Documentation & Record Management

  • Maintain proper filing systems for office and site documentation

  • Manage document control for permits, licenses, and compliance records

  • Ensure accurate tracking, archiving, and retrieval of documents

  • Support preparation of documentation for audits and inspections

3. Regulatory & Compliance Support

  • Assist with administrative submissions and documentation for:

    • BCA (Building and Construction Authority)

    • MOM (Ministry of Manpower)

  • Maintain records for:

    • Work permits and worker details

    • Safety orientation and training attendance

    • Workplace Safety and Health (WSH) documentation

  • Coordinate administrative follow-ups with relevant authorities when required

4. Manpower & HR Administration Support

  • Maintain employee and worker records, including onboarding documentation

  • Track attendance, leave records, and training schedules

  • Coordinate medical check-ups, safety briefings, and mandatory courses

  • Support general HR administrative tasks as required

5. Coordination & Communication

  • Liaise with site staff, subcontractors, and external parties on administrative matters

  • Coordinate scheduling of meetings, site visits, and inspections

  • Disseminate internal notices, circulars, and announcements

Required Skills & Competencies

  • Strong organizational and time-management skills

  • Good written and verbal communication skills

  • Proficiency in Microsoft Office (Word, Excel, Outlook)

  • Attention to detail and accuracy

  • Ability to work independently and coordinate with multiple stakeholders

Qualifications & Experience

  • Diploma or equivalent in Business Administration, Office/Secretarial or related field

  • Experience in construction or built environment industry preferred

  • Familiarity with Singapore construction regulatory requirements is an advantage
