Job Description

The Administrative Executive will provide essential administrative and operational support to Building Manager, assist in billing, documentation, financial and asset tracking, and other administrative functions including but not limited to the following duties:

Key Responsibilities:

  • Handle administrative tasks including filing, documentation, data entry, and records management.
  • Support billing and invoicing processes, ensuring timely submission and accurate tracking.
  • Assist in financial tracking, including monitoring of department budgets, expenses, and claims.
  • Manage asset tracking, updating records, and ensuring accountability of department resources.
  • Provide support in the preparation of reports, presentations, and documentation for both internal and external stakeholders.
  • Coordinate with other departments (Finance, HR, Procurement, etc.) for administrative and compliance matters.
  • Assist in scheduling meetings, preparing minutes, and handling departmental correspondence.

    Undertake any other administrative duties assigned by the department's supervisor to ensure efficient day-to-day operations.


Job Requirements:

  • Minimum NITEC in Business Administration, Accounting or equivalent qualification with min 1 - 2 years of relevant administrative working experiences with accounting/finance knowledge will be an advantage
  • Proficiency in MS Office applications (Words, Excel and PowerPoint)
  • Preferable working with digital systems, online workflows and approval platforms
  • Strong coordination and follow-up skills to manage multiple stakeholders and timelines
  • Good communications both written and verbal, to engage stakeholders professionally and clearly
  • Strong organization skills with detail oriented and accuracy
  • Good interpersonal, pro-active and responsible work attitude, with the ability to work independently
  • Adaptable and comfortable working in a changing, process-driven environment



Employment Type: 2-years employment contract (renewable) with benefits
Working Location: Central, on-site at client's office
Working Schedule: 5-days, (Mondays - Fridays: 8.30 am - 6.00 pm)
