Your Role
As the Admin Executive / Executive Assistant, you will work closely with the CEO to support daily business operations, confidential administrative matters, and executive coordination. This role requires a highly organised and trustworthy individual who is comfortable handling sensitive information involving board meetings, investors, corporate documentation, and internal operations.
You will play an important role in ensuring smooth coordination across the company while providing dependable administrative and executive support. The role is suitable for someone who is meticulous, proactive, and experienced in managing professional documentation and schedules.
Flexible work arrangements are available, including part-time arrangements (e.g. 3–4 working days per week) depending on suitability and experience.
Job Scope
- Provide direct administrative and executive support to the CEO.
- Prepare and manage confidential documents, presentations, reports, meeting minutes, and correspondence.
- Coordinate board meetings, investor-related matters, appointments, and schedules.
- Handle document filing, record management, and ensure proper organisation of company information.
- Support finance and accounting-related administrative tasks such as invoice processing, expense tracking, and payment coordination.
- Liaise professionally with internal teams, vendors, partners, and external stakeholders.
- Assist with office administration, procurement, and operational coordination.
- Support digital documentation and workflow processes using productivity and AI tools where applicable.
Desired Qualities
- Highly trustworthy, discreet, and professional in handling confidential matters.
- Strong word processing and documentation skills with excellent attention to detail.
- Organised and capable of managing multiple priorities independently.
- Comfortable coordinating with senior stakeholders, investors, and external parties.
- Good communication and follow-through skills.
- Familiarity with Microsoft Office / Google Workspace and openness to using AI or digital productivity tools.
- Prior experience as a Personal Assistant, Executive Assistant, Secretary, or administrative support role is highly preferred.
