Job Description

We are a growing building consultancy and industrial equipment supplier seeking a highly independent and motivated Administrator / Office Executive to oversee daily administrative, accounting, and contract functions. This role is critical to the smooth running of the business and requires someone who can take ownership, work with minimal supervision, and support a small team of approximately 10 staff.

Key Responsibilities

Administration & Office Management

  • Manage day-to-day office operations and general administration

  • Maintain proper filing systems (physical and digital)

  • Handle correspondence, documentation, and records management

  • Coordinate schedules, meetings, and internal communications

Accounting & Finance Support

  • Prepare invoices, billing, and follow up on payments

  • Manage basic bookkeeping, expense tracking, and petty cash

  • Liaise with external accountants, auditors, and banks

  • Assist with payroll administration and staff claims

Contract & Project Administration

  • Prepare, manage, and track contracts, quotations, and purchase orders

  • Ensure compliance with contractual terms and documentation requirements

  • Support project documentation for consultancy and supply contracts

  • Maintain accurate records for ongoing and completed projects

Team & Operations Support

  • Provide administrative support to a team of approximately 10 personnel

  • Assist with HR-related matters such as leave tracking and staff records

  • Help improve workflows, systems, and internal processes

Requirements

  • Proven experience in administration, office management, or similar roles

  • Basic accounting and billing experience (construction or consultancy industry preferred)

  • Familiarity with contract documentation and project administration

  • Highly independent, self-driven, and able to work with minimal supervision

  • Strong organisational, multitasking, and problem-solving skills

  • Able to handle confidential information professionally

  • Proficient in Microsoft Office (Word, Excel, Outlook) accounting software experience is an advantage
