Job Title: Administrative Executive (Coffee Machines & Beans)

We are a growing company in the coffee solutions industry, supplying coffee machines and beans to offices, cafés, and F&B establishments. We service, roast fresh coffee, and provide tailored solutions for f&b and offices.
Role Overview:
As we continue to expand, we are looking for a dependable and organised Administrative Executive to support the smooth running of our day-to-day operations.
This is a varied and engaging role that spans several functions across the business. Because each service line (purchases, repair, rental, events) generates its own administrative needs - none of which individually fills an entire workday - the current role is best suited to someone who is comfortable managing multiple service lines and can organise their own time effectively.
Key Responsibilities:
Your day starts with answering enquiries through email/lazada/shopee
Support the processing of sales orders for coffee machines and coffee beans, including the preparation of quotations, invoices, and delivery orders. Follow up with customers on outstanding orders.
Keying invoices, admin requests and tasks by our sales manager
Provide updates and reports to your superiors on activities and results. Manage your schedule, appointments, and customer follow-ups independently
Maintain hygiene and ensure coffee machine showroom is in clean condition
Assist in coordinating stock replenishment for self pickups from the showroom and deliveries which are going out.
Assist in managing the company's rental portfolio by tracking active agreements, monitoring contract renewal dates, and following up with customers on billing and collections. Keep the rental log updated to ensure all units are properly recorded and scheduled for routine servicing.
Requirements:
Highly motivated, disciplined, and able to manage your time well.
Must have a desire for the best solutions for customer follow-up and relationship management.
A formal qualification is not the primary consideration what matters more is reliability, a positive attitude, and the ability to manage day-to-day responsibilities with minimal supervision.
Prior experience in specialty coffee and/or office coffee machines is beneficial so you understand what the customers are asking for. If you do not have prior experience, you must be willing to learn.
English literacy & computer skills - You will be asked to perform a typing and response test during the interview
