[What the role is]
We are looking for an IT-savvy and meticulous Admin Executive to support BCA's organisation-wide Records Management and Sustainability functions. As part of the Corporate Administration Department (CAD), you will help drive BCA's transition towards a digital, compliant and sustainable workplace. The role supports key corporate initiatives such as the Electronic Records Management System (ERMS), IM4L/NAS requirements, digitisation of plans, and sustainability reporting. You will work closely with various divisions across BCA to ensure high data quality, accurate reporting and adherence to governance standards.
[What you will be working on]
Key Responsibilities
Records Management & ERMS
- Support ERMS operations, including metadata tagging, quality checks, indexing and file plan management.
- Handle declassification, disposal verification and NAS archival submissions.
- Manage confidential disposal services and conduct training for staff and DROs.
Plans Retrieval & Digitisation
- Coordinate digitisation of hardcopy plans, microfiche/microfilm and perform quality checks.
- Support internal/external plan retrieval requests, including urgent retrievals.
- Collaborate on implementation of the transformation of existing retrieval processes, enabling self-service workflows. This includes assisting in the development and implementation of solutions, as well as providing training to staff.
Sustainability Reporting
- Consolidate all sustainability data i.e. energy, water, waste, transport, procurement and etc.
- Submission of sustainability data when necessary
- Maintain dashboards and support sustainability initiatives.
Appointed Roles & Office Administration
- Serve as Department Records Officer (DRO) to meet IM4L and NAS requirements.
- Serve as a Goods Receipt Officer (GRO)
- Support CAD events, audits and ad-hoc administrative duties.
[What we are looking for]
Requirements
- Diploma in Business Administration, Records Management, Environmental or Sustainability-related fields, or equivalent experience.
- 23 years of experience in corporate administration, records management or sustainability reporting preferred.
- Strong IT skills and the ability to work confidently with digital systems (ERMS, digitisation platforms, dashboards, data tools).
- Knowledge of IM4L, NAS guidelines, and GreenGov.SG frameworks will be an advantage.
- Good communication skills with strong attention to detail and data accuracy.
- A proactive team player comfortable working with multiple departments and stakeholders.
