We are seeking a highly organized, detail-oriented, and proactive individual to support our business operations. This role will support the smooth coordination between CCC and its stakeholders, and is perfect for someone who thrives in a dynamic, multitasking environment.
Working Hours
9:00 a.m. - 6.00 p.m. Mondays - Fridays
The role is primarily office-based, with occasional meetings held outside the office or work beyond official hours/on weekends to support running events.
Key Responsibility Areas
Customised Training and Events
- Provide end-to-end administrative support in the coordination and logistics of short-term training and events (workshops, conferences etc.) including registrations, event-day preparations, certificate issuance etc.
- Support the drafting of training proposals and procurement documentation.
- Liaise with local and overseas trainers for logistical arrangements.
- Serve as the primary point of contact for attendees of trainings and workshops needing assistance prior to or on the day of training/events.
- Support the team with resource allocation and admin support, including scheduling, and maintaining accurate records in Salesforce and other systems.
Employee Assistance Programme
- Support the Business Development (BD) Team in EAP account management that involves client onboarding, contract preparation, feedback management, and renewals.
- Collaborate with Corporate and Clinical teams on EAP process improvement and other initiatives.
- Handle individual enquiries related to EAP utilisation.
Communications
- Assist in the development of publicity materials: offline and online marketing, including CCC's website.
- Support media engagement efforts by drafting press releases, coordinating interviews, and managing logistics for media events.
- Assist in drafting administrative briefs and event speeches for senior management as needed.
- Support preparation of corporate editorial content, including print materials and annual reports.
Funding
- Support the team with managing full spectrum of PCG grant administration (application, documentation, and claims) for training and workshops.
Administrative Support
- Provide secretarial and administrative assistance for internal meetings and events as required.
- Provide administrative support for BD team's new initiatives and activities from time to time.
- Carry out additional duties as assigned by the ED to enhance BD and its operations.
Requirements
Experience
Minimum 2 years of experience in similar roles is preferred. Experience in training-related settings will be an added advantage.
Competencies
- Strong administration skills.
- Knowledge in training grants (especially PCG, WSQ/SSG-related) and their end-to-end administration.
- Exceptional organisational and multitasking skills with meticulous attention to detail and ability to follow through.
- Strong communication and interpersonal skills.
- A positive, can-do attitude with a willingness to pitch in wherever needed.
- Confident using CRM systems (Salesforce particularly).
- Proficient in MS Office - Excel, Word, PowerPoint.
