1. General Administration
- Ensure smooth daily operations of the assigned clinics.
- Handle incoming and outgoing mail, courier, Open letter box, phone calls, and general correspondence.
- Coordinate with cleaners, maintenance personnel, etc.
- Attend to stock deliveries, visitors, and ensure the pantry, reception, and meeting rooms are tidy and well maintained.
- Assist in clinic stationery ordering, packing, and reporting to the Operations team.
- Maintain and update office records, files, and forms in both physical and digital formats.
- Support document control - assign, route, and track documents sent between clinics and HQ departments follow up on outstanding or missing documents.
- Assist in preparation, renewal, and submission of company related applications and contracts (e.g. rental, utilities, insurance, telco, and etc)
- Handle filing and archiving of company and clinic records (e.g. receipts, contracts, correspondence, refund records, etc).
- Perform any other administrative duties as assigned by the Head of Department (HOD).
2. Accounting Support
- Manage Accounts Receivable (AR) and Accounts Payable (AP) emails.
- Download and upload supplier invoices from portals (e.g. NETS, SP Group, Keppel, Senoko, HDB, etc.).
- Scan and upload supplier invoices (hardcopy) to ShareDrive and ensure proper filing.
- Download and maintain records of bank statements (mid and end of the month)
- Manage bank in process for cash bags and cheques
- Request new cash bags and bank slips from DBS Bank as needed.
- Download settlement lists from FOMO, credit card, NETS, and DBS Max for reconciliation.
- Update group collection reports based on end day report documents.
- Perform any other administrative duties as assigned by the Finance Head.
3. Office & Administrative Coordination
- Ensure smooth communication between clinics, HQ departments, and external vendors.
- Maintain confidentiality and proper documentation of sensitive records.
- Support department projects or ad hoc administrative tasks assigned by management.
Requirements:
- Diploma/Degree in any specializations
- Fresh graduates are welcome to apply
- Candidates with at least 2 years of relevant experience in healthcare/operations administration may be considered for a senior position.
- Able to multitask, work under tight timeline and meet deliverables
- Good interpersonal and communication skills
- Independent and resourceful worker
