Job Description

Key Responsibilities:

Office Administration

  • Oversee day-to-day office operations and ensure a well-organized work environment.
  • Manage office supplies, stationery, and equipment inventory.
  • Handle incoming and outgoing correspondence, phone calls, and document filing (physical and electronic).
  • Arrange logistics for meetings, appointments, company events, and travel bookings.
  • Coordinate with vendors, contractors, and service providers for office maintenance and procurement.
  • Perform ad-hoc administrative tasks as required to support office and project needs.

Human Resources & Support

  • Maintain staff attendance, leave, and personnel records.
  • Support recruitment activities, staff onboarding/offboarding, and training coordination.
  • Assist in arranging staff accommodations, travel, and other welfare needs.

Accounting & Administrative Support

  • Liaise with accounting personnel for invoice processing, petty cash management, and expense tracking.
  • Liaise with the accounts team for payment follow-up, bank documents, and audit support.

Corporate & Documentation

  • Maintain proper filing of company documents, contracts, and permits.
  • Coordinate with corporate secretary or relevant agencies for compliance and statutory submissions.
  • Support management with preparation of reports, meeting notes, and presentation materials.

Communication & Coordination

  • Serve as liaison between departments, management, and external parties.
  • Ensure smooth internal communication and follow-up on administrative matters.
  • Provide general support to management and assist with any ad-hoc projects or tasks.

Requirements:

  • Diploma or Degree in Business Administration, Management, or related discipline.
  • Minimum 2-3 years of relevant administrative experience.
  • Good organizational, coordination, and time management skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Detail-oriented, responsible, and able to handle confidential information.
  • Good communication skills in English & Mandarin will be an advantage).

Working Conditions:

  • Based in Singapore.
  • Full-time, 5-day work week.
