Job Description

Administrative Duties

  • Provide administrative support to project and management teams
  • Maintain proper filing of contracts, drawings, and project records
  • Handle correspondence, emails, phone calls, and scheduling
  • Prepare reports, progress documentation, and meeting minutes
  • Assist in procurement processes and coordination with suppliers and subcontractors
  • Ensure compliance with MOM and workplace documentation requirements

Quantity Surveying Duties

  • Prepare cost estimates, BOQs, and tender submissions (including government tenders - HDB, LTA, BCA, GeBIZ)
  • Evaluate subcontractor quotations and pricing comparisons
  • Monitor project budgets, cost control, and variations (VO)
  • Prepare and verify progress claims and final accounts
  • Liaise with clients, consultants, subcontractors, and suppliers
  • Conduct site visits to verify work progress when required
  • Support both M&E and building (structural & architectural) works

HR & Accounts Support

  • Assist in basic HR functions (staff records, attendance, leave tracking, work pass documentation)
  • Support MOM-related submissions and employee documentation (WP/SPass where applicable)
  • Assist in payroll preparation and overtime tracking
  • Help maintain employee files and HR records
  • Assist in basic accounting tasks (data entry, invoice processing, payment tracking)
  • Coordinate with external accountant / auditor when required
  • Support petty cash management and expense claims

Requirements

Education & Experience

  • Diploma/Degree in Quantity Surveying, Construction Management, or related field
  • Minimum 1-3 years of relevant experience
  • Experience in Singapore construction company is required
  • Experience in HDB / LTA / public sector projects preferred
  • Experience in government tendering (GeBIZ) is an advantage
  • Experience in M&E and building works

Skills & Competencies

  • Knowledge in construction costing, contract administration, and tendering
  • Proficient in Microsoft Office (especially Excel)
  • Familiarity with QS software (AutoCAD, CostX) is a plus
  • Basic knowledge of HR and accounting processes
  • Strong organizational and multitasking abilities
  • Able to communicate with foreign workers (multi-language advantage)
  • Good interpersonal and coordination skills
  • Ability to work independently and meet deadlines
