Job Description:
We are looking for a detail-oriented and organized Admin & Billing Executive to handle administrative and billing functions within the company. The role involves managing day-to-day office operations, preparing invoices, maintaining accurate records, and supporting the accounts and operations team to ensure smooth business workflow.
Key Responsibilities:
Administrative Support:
- Perform general administrative duties including filing, data entry, document control, and correspondence.
- Manage office supplies, courier arrangements, and staff administrative matters.
- Assist in preparing reports, contracts, and documentation for management review.
- Coordinate with internal departments to support operational and HR-related needs.
Billing & Invoicing:
- Generate and issue invoices, credit notes, and delivery orders accurately and on time.
- Verify billing details against supporting documents such as purchase orders, job sheets, or delivery notes.
- Track payments and coordinate with clients and the accounts team on outstanding invoices.
- Maintain and update billing records in accounting or ERP systems.
- Assist in monthly account reconciliations and audit requirements.
Other Duties:
- Support management in ad-hoc projects and administrative tasks.
- Ensure compliance with company policies, confidentiality, and data protection requirements.
Requirements:
- Diploma or NITEC in Business Administration, Accounting, or related field.
- Minimum 2 years of relevant experience in administrative and/or billing roles.
- Proficient in Microsoft Office (Excel, Word, Outlook).
- Knowledge of accounting software (e.g., Xero, QuickBooks, or SAP) is an advantage.
- Good communication and organizational skills.
- Meticulous, responsible, and able to work independently with minimal supervision.
Working Hours:
Monday to Friday, 8:30 AM - 5:30 PM
Saturday alternate, 8.30 AM - 12.30 PM or 11.00 AM - 3.00 PM
