Job Description

Work Location: Toh Guan
Working Hours: Mon-Fri: 9:00am - 6:00pm | Sat: 9:00am - 1:00pm (alternate Saturdays)
Salary Range: SGD 2,000 - SGD 2,500

Responsibilities

General Administration

  • Perform day-to-day administrative duties, including front desk reception, answering phone calls, managing emails, and attending to walk-in customers.

  • Prepare and issue Delivery Orders (DO), Service Agreements (SA), invoices, receipts, and supporting documents.

  • Prepare quotations and assist the operations team with administrative documentation.

  • Maintain filing systems, document archives, and ensure proper data entry and record accuracy.

  • Responsible for purchasing and replenishing office supplies and maintaining office inventory.

Automotive-Related Administrative Support

  • Coordinate and schedule customer appointments for servicing, repair jobs, inspections, and collection.

  • Assist in preparing job sheets, service reports, and workshop documentation.

  • Update customer records, vehicle details, service history, and warranty documentation.

  • Support the operations team by tracking job status, parts availability, and service progress.

  • Communicate with suppliers and vendors regarding parts orders, delivery arrangements, and price quotations.

Customer Service & Coordination

  • Handle customer enquiries professionally through phone, email, and in-person.

  • Coordinate internal meetings, staff scheduling, where necessary.

  • Ensure the office environment is clean, organized, and compliant with company policies and workplace safety guidelines.

Others

  • Perform ad hoc administrative duties as assigned by management.

  • Provide support during events, audits, or operational activities when required.

Requirements

  • Minimum O-Level or equivalent qualification.

  • Able to communicate effectively in English and Mandarin (to liaise with Mandarin-speaking stakeholders).

  • Strong organizational skills, attention to detail, and the ability to multitask.

  • Proficient in MS Office (Word, Excel, Outlook).

  • Prior experience in the automotive sector is an advantage but not mandatory.

  • Positive attitude, willingness to learn, and strong teamwork skills.
