RESPONSIBILITIES
Role Summary
The Admin Associate provides administrative, operational and data support to the Mental Health Service. The role supports the consolidation of administrative functions across the team's services, ensuring smooth coordination of workflow processes, operational activities and service reporting.
The incumbent will play a key role in maintaining and monitoring team data, supporting staff onboarding and offboarding, coordinating operational requests, and serving as a central point of contact for shared administrative matters. As the service expands, the role may also provide support for meeting coordination, training administration and client-related administrative activities.
Key Responsibilities
1) Data Management & Service Reporting (40%)
- Data Systems: Collate, clean, validate, and maintain programme and client activity data (assessments, attendance, outreach metrics) in line with PDPA and internal SOPs.
- Reporting: Prepare monthly/quarterly submissions and dashboards track KPIs (e.g., outreach reach, referrals, follow-ups) support audits and grant reporting.
2) Workforce Administration & Operational Support (30%)
- Coordinate manpower processes: Staff onboarding and exit processes, IT and system access requests, workspace preparation and orientation arrangements. Completion of operational clearance requirements.
- Maintain records: Staff training records, contact lists, organisational charts and team directories.
- Liase with agency HQ functions: Support procurement, inventory management and administrative tracking of assets. Liase with Human Resources, IT, Operations, Facilities and other support departments to facilitate requests.
3) Team Administration & Coordination (30%)
- Inbox management: Manage and monitor share communicating channels, respond to triage and route enquiries appropriately.
- Meeting cooridnation: Booking of venues, preparation of meeting materials, and follow up actions. Assist with preparation of reports and presentation materials.
QUALIFICATIONS- Qualifications
- GCE N/O Level, NITEC, Higher NITEC, Diploma, or equivalent qualification.
- Relevant administrative training will be an advantage
- Experience & Skills
- Experience in administrative, operations support, or coordination roles.
- Strong proficient in Microsoft Office application, particularly Excel, Outlook and Teams.
- Comfortable working with data, reports, spreadsheets and tracking systems.
- Good organisational and time management skills with the ability to manage multiple priorities.
- Strong attention to detail and commitment to maintaining accurate records,
- Good written and verbal communication skills
- Ability to work independently and collaboratively within multidisciplinary teams.
- Experience in social service, healthcare, community care or mental health settings will be an advantage.
