Job Summary
You will support order processing, inventory management, and documentation for medical device distribution while coordinating with logistics, sales, and customers to ensure smooth operations and timely deliveries.
Responsibilities
- Prepare and process invoices, delivery orders (DO), and purchase orders (PO) accurately to support sales and logistics operations
- Coordinate with logistics and warehouse teams to ensure timely order fulfillment and delivery tracking
- Maintain accurate inventory records and track stock levels to support supply chain management
- Support import/export documentation and liaise with freight forwarders to facilitate smooth shipment processes
- Assist in preparing tender submissions and related documentation to support business development
- Perform general administrative duties including filing, data entry, and managing email correspondence to maintain organized records
- Support the sales team by preparing quotations and tracking orders to ensure customer requirements are met
- Liaise with hospitals and customers to provide updates on order status and resolve documentation queries
Preferred competencies and qualifications
- Prior experience in administration, logistics, or customer service to effectively manage operational tasks
- Proficiency in Microsoft Office applications (Excel, Word, Outlook) to prepare documents and communicate efficiently
- Experience in the medical device or healthcare industry to understand product and customer needs
- Strong organizational and multitasking skills to handle multiple responsibilities accurately
- Good communication skills and ability to work independently to coordinate with internal teams and external partners
- Diploma, NITEC, or A-Level qualification or equivalent educational background
