Job Description

Job Summary

We are seeking a highly organised and proactive Administrative Assistant to provide comprehensive support in meeting coordination, executive scheduling, client engagement, and travel management. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.

Job Responsibilities

1. Meeting & Project Coordination

  • Coordinate and schedule internal and external meetings, including room bookings, invitations, and conflict resolution.
  • Prepare and organise meeting materials in advance.
  • Attend key meetings, record accurate minutes, and produce clear, structured summaries.
  • Track action items and follow up with stakeholders to ensure timely execution.
  • Consolidate progress updates and report status regularly to management.

2. Client Reception & Relationship Support

  • Plan and coordinate client visits, including itineraries, meeting logistics, dining arrangements, and gift preparation.
  • Provide professional on-site support during client engagements.
  • Assist in maintaining positive client relationships and handle ad-hoc requests efficiently.

3. Calendar & Schedule Management

  • Manage and optimise the principal's daily and long-term schedule.
  • Prioritise appointments and tasks based on urgency and importance.
  • Provide timely reminders and ensure sufficient buffer time between commitments.

4. Travel & Expense Management

  • Arrange end-to-end travel logistics, including flights, accommodation, and transportation.
  • Prepare detailed itineraries to ensure seamless travel experiences.
  • Handle last-minute changes and resolve travel-related issues promptly.
  • Support expense tracking, documentation, and reimbursement in line with company policies.

Job Requirements

  • Minimum 1 year of relevant working experience.
  • Proactive and self-driven, with the ability to anticipate needs and solve problems independently.
  • Highly observant with strong situational awareness and attention to detail.
  • Quick-thinking and adaptable, able to handle urgent and unexpected situations effectively.
  • Strong sense of urgency with excellent time management skills.
  • Execution-focused, with the ability to follow through on tasks and deliver results consistently.
