Daily Admin duties
1. Monitoring of workers attendance, medical leave (MC), and leave application via the infotech system, including resolving timekeeping discrepancies and performing manual adjustment when required.
2. Handle general administrative tasks, including managing emails and documentation received through the admin inbox or workstation.
3. Prepare correspondence email, draft memo, letter for division admin purpose.
4. Attend to any admin coordination request from maintenance site in charge that may arise. Health, Hospitalization LOG registration, insurance claim, etc.
5. Liaise with HR team on any work permit expiry, cancellation and renewal of work permit and update to Division manpower register.
6. Coordination with transport operator for any transportation requirement as need by site.
7. Coordinate with dormitory operator for check-in and check-out of workers.
8. Update of worker location in division register if worker mobilize to another site permanently.
9. Liaise and admin process for resign personnel.
10. Liaise and admin process for new recruitment personnel.
11. Arrange and coordinate industrial training courses, including course bookings as required by site personnel.
Monthly Duties
1. Compile, check for error and generate timesheet for salary processing through info tech.
2. Collect, compile, arrange for respective monthly staff claim report for approval and claim.
Ac-hoc Duties
1. Festival gift arrangement for site client (CNY orange / Moon cake festival / year end dairies, etc)
2. Represent division to attend to any new company policy briefing, training as organize by Company.
3. Liaise with agent, HR, for resolving any arising matter concerning manpower welfare.
Yearly duties
1. Represent division for Company event (eg: as committee member for annual dinner, CSC races event, any games outing organizes by division or Company level)
2. Schedule name list for yearly medical check-up.
