Job Description: We are seeking a detail-oriented and organized Administrative Assistant to join our team. In this role, you will provide crucial support to our administrative operations, ensuring smooth day-to-day functioning within the company. Responsibilities:
- Manage incoming calls and correspondence, directing inquiries to the appropriate departments
- Maintain and update filing systems, both electronic and physical
- Assist in scheduling appointments and meetings, coordinating calendars as needed
- Prepare and distribute memos, letters, and other documents
- Process and distribute incoming and outgoing mail
- Perform general clerical duties, such as photocopying, scanning, and faxing
- Collaborate with other administrative staff to ensure efficient workflow
- Handle sensitive and confidential information with discretion and professionalism
Requirements:
- Proven experience as an administrative assistant or relevant role
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong organizational and time management skills
- Excellent verbal and written communication abilities
- Ability to prioritize tasks and manage multiple projects simultaneously
- Attention to detail and accuracy in all work tasks
- Ability to work independently with minimal supervision
- Positive attitude and willingness to learn and adapt in a fast-paced environment
- Experience in the insurance industry is a plus
