1. Meeting Coordination:
. Schedule and coordinate internal and external meetings, including team meetings, client meetings, and presentations creation support.
. Arrange conference rooms, video conferencing, and necessary resources for meetings.
. Send out meeting invitations, agendas, and reminders to participants.
. Record meeting minutes and follow up on action items.
2. Event Planning Support:
. Support creating event timetable
. Send out RSVP form to guests, consolidate as guest list, and send reminders to participants
. Manage guest list including flight information, hotel check in/out dates, transportation details, and personal details
3. Department Schedule Management:
. Maintain and organize the marketing team's calendars, ensuring appointments and deadlines are met
4. General Administrative Support:
. Provide general administrative support to the marketing department, including filing, document management, and data entry.
. Handle incoming and outgoing correspondence, emails, and phone calls.
. Assist with travel arrangements and logistics for team members, if needed.
