About the role

As an Admin & Operation Assistant at TastyFood Sales & Marketing Pte Ltd, you will play a vital role in supporting the smooth and efficient running of our office operations. This full-time position is based in the Senoko South and will involve a wide range of administrative duties to assist our sales and marketing teams.

What you'll be doing

  1. Process daily orders from assigned channels including General Trade (GT), Food Services (FS), Wholesale (WS), Prime Supermarket, Pandamart, and Don Don Donki.

  2. Verify order accuracy (SKU, quantity, pricing, delivery date) and input into the system within the same working day.

  3. Review and verify invoices for pricing, discounts, payment terms, and special instructions before release.

  4. Prepare picking lists post-order confirmation and ensure alignment with system records.

  5. File invoices systematically by delivery date, vehicle, and customer for audit purposes.

  6. Issue Goods Return Notes (GRNs) for GT customers and support monthly GRN consolidation for NTUC.

  7. Prepare monthly Statements of Account (SOA) for GT customers and share with sales team.

  8. Monitor inventory levels and flag out-of-stock (OOS) or low-stock items to Sales/Ops.

  9. Book delivery slots for malls and sites (e.g., JEM, Jewel, MBS, Changi Airport, etc.) and coordinate with drivers.

  10. Handling incoming phone calls, emails, and other correspondence in a professional and timely manner

  11. Performing other ad-hoc administrative tasks as required

What we're looking for

  1. At least 2 years of experience in an administrative support role, preferably in a FMCG sales & marketing environment

  2. Strong organisational and time management skills with the ability to prioritize tasks and meet deadlines

  3. Excellent communication and interpersonal skills, with a professional and friendly demeanor

  4. Proficiency in using Microsoft Office suite (Word, Excel, PowerPoint) and other office software

  5. A keen eye for detail and the ability to work accurately and efficiently

  6. A proactive approach and the ability to work independently as well as part of a team
