Job Summary:
The Admin / HR Assistant is responsible for supporting daily office operations and providing administrative and HR support. This role ensures smooth coordination of tasks, proper record management, and efficient day-to-day operations.
1. Key Responsibilities:
A. Office Administration & Maintenance
- Coordinate maintenance, cleaning, vendors
- Liaise with landlord / building management
- Maintain records (assets, access cards, keys)
B. Company Vehicle Administration
- Track servicing, inspection, repairs
- Monitor fuel, parking, ERP, expenses
- Handle fines, summons & follow-ups
- Maintain vehicle documentation
C. Attendance & Daily Workforce Monitoring
- Monitor daily attendance
- Update and send daily out-of-office email
- Support payroll data preparation
D. Timecard & Timesheet Coordination
- Collect and verify timecards
- Follow up on missing/incomplete submissions
- Maintain proper records for audit
- Coordinate discrepancies with supervisors
E. Human Resource Support (As Required)
- Prepare onboarding documents
- Maintain employee records
- Assist in HR documentation & filing
- Support ad-hoc HR/admin tasks
2. Requirements:
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Strong organizational and time management skills
- Good communication and coordination skills
- Able to work independently and handle multiple tasks efficiently
- Able to handle confidential information with discretion
- On-the-job training will be provided
