Job Description

Job Summary:

The Admin / HR Assistant is responsible for supporting daily office operations and providing administrative and HR support. This role ensures smooth coordination of tasks, proper record management, and efficient day-to-day operations.

1. Key Responsibilities:

A. Office Administration & Maintenance

  • Coordinate maintenance, cleaning, vendors
  • Liaise with landlord / building management
  • Maintain records (assets, access cards, keys)

B. Company Vehicle Administration

  • Track servicing, inspection, repairs
  • Monitor fuel, parking, ERP, expenses
  • Handle fines, summons & follow-ups
  • Maintain vehicle documentation

C. Attendance & Daily Workforce Monitoring

  • Monitor daily attendance
  • Update and send daily out-of-office email
  • Support payroll data preparation

D. Timecard & Timesheet Coordination

  • Collect and verify timecards
  • Follow up on missing/incomplete submissions
  • Maintain proper records for audit
  • Coordinate discrepancies with supervisors

E. Human Resource Support (As Required)

  • Prepare onboarding documents
  • Maintain employee records
  • Assist in HR documentation & filing
  • Support ad-hoc HR/admin tasks


2. Requirements:

  • Proficient in Microsoft Office (Excel, Word, Outlook)
  • Strong organizational and time management skills
  • Good communication and coordination skills
  • Able to work independently and handle multiple tasks efficiently
  • Able to handle confidential information with discretion
  • On-the-job training will be provided
