We're looking for an Admin & Finance Executive to keep our finances running tight and our cash flowing. It's a role for someone who is meticulous by nature, moves with real urgency, and takes genuine satisfaction in a clean set of books and a settled accounts receivable list.
What You Will Be Doing
- Manage the full invoicing cycle including preparing accurate invoices, quotes, purchase orders, and expense reports, and monitoring them through to payment.
- Follow up on outstanding invoices diligently and professionally, applying effective collection strategies to keep overdue accounts to a minimum.
- Develop and issue quotes and proposals to clients based on project requirements, ensuring accuracy, completeness, and adherence to company pricing guidelines.
- Maintain accurate financial records using accounting software, covering recording transactions, reconciling accounts, monitoring accounts payable and receivable, and supporting budget planning and financial reporting.
- Handle day-to-day office administration, including phone and email correspondence, document preparation, filing, data entry, and maintaining office supplies. There won't be a heavy admin load, but we need someone reliable to manage it.
- Coordinate appointments, meetings, and travel arrangements for the team as needed.
Our Ideal Requirements
- Prior experience in bookkeeping, accounts receivable, or a similar finance/admin role.
- Meticulous, with a sharp eye for detail. Accuracy here is non-negotiable, small errors in invoicing and bookkeeping create significant problems downstream.
- A strong sense of urgency. You prioritise effectively, act quickly, and stay ahead of deadlines, particularly when it comes to collections.
- Confident and professional when communicating with clients on payment matters.
- Familiarity with the construction industry, or experience working with people in that space, would be a big bonus.
- Proficiency with AI tools to streamline and optimise finance and admin workflows would be a real plus. We value people who look for smarter ways to work.
