Job Description
The Accounts & Sales Administrator supports the company's finance and sales operations by handling daily accounting tasks, invoicing, payment tracking, and providing sales administrative support such as quotations, order processing, and customer documentation. This role ensures accurate financial records, smooth coordination between departments, and timely service to customers.
Key Responsibilities
Accounts Duties
. Prepare and issue invoices, receipts, delivery orders, and credit notes accurately and on time
. Maintain proper documentation and filing of all accounting records
. Perform daily accounting data entry into the accounting system
. Handle accounts receivable (AR) functions including:
o Monitoring customer payments
o Sending statements of accounts
o Following up on overdue payments professionally
. Handle accounts payable (AP) functions including:
o Checking supplier invoices
o Preparing payment schedules
o Supporting payment processing
. Perform bank reconciliations and maintain petty cash records
. Assist in month-end closing and preparation of basic financial reports
. Support audit, compliance, and documentation requirements when needed
. Ensure accuracy and completeness of records according to company policies
Sales Administration Duties
. Prepare sales orders, invoices, and service contracts based on sales team requests
. Process customer orders and coordinate with operations/logistics to ensure timely fulfilment
. Maintain and update customer records, and sales documentation
. Support the sales team in:
o Customer onboarding documentation
o Service renewals and contract tracking
. Respond to customer inquiries related to billing, documentation, and order status
. Prepare bi-monthly sales reports (sales performance, outstanding invoices, pipeline tracking)
. Coordinate with internal departments to ensure customer requests are followed up and completed
General Administrative Duties
. Support office administrative duties such as filing, document control, and coordination
. Ensure confidentiality of company financial and customer information
. Perform ad-hoc tasks assigned by management
. Perform office daily administrative works.
Qualifications and Requirements
Diploma or Degree in Accounting, Finance, Business Administration, or related field or Minimum 2-3 years in related roles.
. Proven experience in Accounts & Sales Administrator or a similar role.
. Proficiency in using Microsoft Office Suite (Excel, Word, PowerPoint), and other relevant tools.
. Strong attention to detail and accuracy
. Good organizational and time management skills
. Good communication and interpersonal skills
. Able to handle confidential information professionally
. Attention to detail and accuracy in data entry and record-keeping.
. Ability to work effectively in a fast-paced and team-oriented environment.
. Singaporeans and PR preferred.
