Job Position: Vessel Accounts Assistant/Executive - Payable
We are seeking a Vessel Accounts Executive to join our dynamic team, providing essential support to the vessel accounts function. This role offers a valuable opportunity to build expertise in vessel accounting while working in a collaborative and supportive environment.
- Assist in reviewing vessel-related expenses keyed in by ship management teams.
- Support month-end closing activities related to vessel accounts.
- Process accounts payable and accounts receivable transactions.
- Prepare and post journal entries accurately and on time.
- Support monthly payment cycles and handle ad-hoc payments vwhen required.
- Process staff claims in accordance with company policies.
- Perform bank reconciliations and follow up on discrepancies.
- Assist in preparing the full spectrum of vessel accounting activities.
- Handle marine accounting tasks including AP, AR, and GL entries, and support preparation of vessel expense reports.
- Review monthly expense invoices to ensure proper cost allocation according to approved budgets.
- Process insurance invoices and maintain accurate insurance records.
- Prepare required documents for audit purposes.
- Perform other assigned administrative duties.
- Handle vendor enquiries regarding payment status, and resolve discrepancies with internal departments.
- Process and verify vendor invoices with purchase orders, contracts, and delivery receipts.
- Reconcile vendor statements and review Accounts Payable aging reports.
- Follow up on overdue invoices and escalate issues where necessary.
- Supports accurate cash flow planning.
- Responsibilities may evolve based on operational requirements. The employee is expected to carry out any other duties reasonably within the scope of the role, as assigned by the Management.
Requirements:
- Minimum 2-3 years of relevant experience in vessel accounting. Experience in the shipping or marine industry (e.g., ship management, ship owners, or shipping lines) preferred.
- Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) with advanced Excel skills, including data analysis, financial modeling, and reporting.
- Experience with vessel accounting software (eg. Abatech and SEE System)
- Detailed oriented and able to work in fast paced environment with deadlines and goals
- Good written and interpersonal communication skills
- Committed and meticulous individual with great team bonding skills
- Proactive communicator
