Join a leading Medical Aethetics Group in Singapore as Accounts Assistant.
1. Finance Administration (80%)
a. Day-to-Day Accounting
- Record financial transactions: data entry for invoices, payments, and receipts under Singapore Financial Reporting Standards (SFRS).
- Maintain the general ledger and sub-ledgers (AP, AR).
b. Accounts Payable & Receivable
- Process vendor invoices, prepare payment runs
- Generate customer invoices, monitor collections, and follow up on overdue accounts, update aging reports.
c. Expense & Cash Management
- Review staff expense claims ensure compliance with company policy.
d. Month-End Support
- Assist with month‑end close activities: gather invoices, prepare schedules, and support journal postings.
- Help prepare basic management reports, variance analyses, and spreadsheets for leadership.
e. Financial Documentation & Compliance
- Maintain accurate finance records and support internal audits.
- Prepare schedule and liaise with external auditors, providing reconciliations and supporting schedules.
- Maintain audit-ready documentation for statutory and internal reviews.
f. Service Report Coordination
- Collect and consolidate service reports from the technical team (e.g., equipment maintenance, field-service activities).
- Verify that service costs, parts usage, are accurately captured.
- Flag unusual trends (e.g., repeat failures, high repair costs) for management review.
2. Logistics Support (20%)
a. Inventory & Documentation
- Update inventory records for lot-controlled products and assist with periodic stock counts.
- Maintain shipping and customs documentation: packing lists, airway bills, commercial invoices
b.Shipment Coordination
- Liaise with freight forwarders to schedule pickups, track shipments, and escalate delays.
- Coordinate small sample shipments, ensuring accurate labeling
c. Vendor & 3PL Liaison
- Support communication with third-party logistics providers and suppliers regarding order status and documentation.
Qualifications & Skills
Education:
- Diploma or bachelor's degree in accounting, Finance, or related field.
Experience:
- 1-3 years in an accounting or finance support role.
- Exposure to logistics coordination or shipping documentation a plus.
Technical Proficiency:
- Proficient in Microsoft Excel (basic formulas, pivot tables).
- Familiarity with ERP/accounting software (e.g Quickbooks) preferred.
