Job Description

Job Summary

The Account Executive is responsible for maintaining accurate and timely accounting records for ship-owning entities, including Balance Sheet, Profit & Loss, liquidity accounting, and vessel-level accounting. The role works closely with outsourced Technical and Crewing Managers to ensure proper cost allocation, reconciliations, and financial controls over vessel operations.

Responsibilities

  • Maintain full set of accounts for assigned ship-owning entities, ensuring accounting entries accurately reflect the nature of the ship-owning business and underlying transactions
  • Allocate vendor invoices to the correct General Ledger (GL) accounts and cost centres to support precise financial reporting
  • Manage accounts receivable and accounts payable processes to ensure timely cash collection and payments
  • Prepare and distribute monthly Statements of Account to clients and stakeholders
  • Analyse debtors ageing reports weekly and escalate issues to facilitate effective cash flow management
  • Manage billing, invoicing, and collections processes to optimize revenue recognition
  • Review and release invoices via DocuWare to maintain accurate documentation and compliance
  • Perform liquidity and cash reconciliations to maintain accurate cash flow records
  • Maintain cash book, bank reconciliations, and petty cash accounts to ensure financial accuracy
  • Reconcile operational cash accounts to the master ledger to support financial integrity
  • Liaise with outsourced Technical and Crewing Managers to coordinate financial information and resolve discrepancies
  • Perform monthly reconciliations with Technical and Crewing Managers and resolve variances to ensure accurate vessel expense postings
  • Ensure timely posting of vessel expenses to maintain up-to-date financial records
  • Support month-end and year-end closing activities, including accruals and reconciliations, to facilitate accurate financial statements
  • Prepare year-end audit schedules and respond to audit and management queries to support compliance and transparency
  • Execute assigned accounting activities with professionalism and accuracy to uphold team standards
  • Collaborate with colleagues to promote teamwork and support ad-hoc finance tasks as needed

Preferred competencies and qualifications

  • Diploma or Degree in Accounting or Finance
  • Experience in shipping or ship management
