Job Description

Job Summary

We are looking for a reliable, mature, and hands on Account/ Office Manager to oversee the company's accounting, administrative, and office operations functions. This role requires a well-organised individual who can manage full-set accounts, monitor cash flow, support statutory and compliance matters, and ensure the smooth day-to-day running of the office.

The ideal candidate should be independent, detail-oriented,and capable of working in a fast-paced project-based environment. Experience in the interior design, fit-out, renovation, or construction industry will be an added advantage, as the role requires close coordination with project teams, subcontractors, suppliers, clients, and management.

Key Responsibilities

Accounting

  • Manage and maintain full set accounts accurately and on a timely basis.
  • Handle accounts payable and accounts receivable, including invoice verification, payment processing, collections follow-up, and statement reconciliation.
  • Perform bank reconciliation, monitor account balances, and ensure accurate financial records.
  • Prepare monthly, quarterly, and yearly financial reports for management review.
  • Monitor cash flow, payment schedules, and financial commitments to support business operations.
  • Assist in budget planning, cost control, and financial tracking across company activities and projects.
  • Check and balance staff claims, petty cash, reimbursements, and expense records.
  • Liaise with auditors, tax agents, bankers, and external consultants on accounting and finance matters.
  • Support year end closing, audit preparation, and submission of financial schedules.
  • Ensure proper filing and maintenance of all finance related records and supporting documents.

Statutory Compliance and Payroll

  • Handle GST submission, tax related matters, CPF contributions, payroll processing, and other statutory requirements.
  • Ensure timely submission of required compliance documents and government filings.
  • Coordinate with external payroll or accounting service providers where applicable.
  • Maintain proper records for employee salary, leave, claims, and statutory deductions.
  • Support management in ensuring compliance with company policies and financial control procedures.

Office Administration and Operations

  • Oversee the day-to-day office administration and operations to ensure an efficient and well-organised work environment.
  • Manage office supplies, vendor contracts, utilities, subscriptions, insurance renewals, licence renewals, and office maintenance.
  • Maintain proper control of company records, agreements, contracts, and administrative documentation.
  • Coordinate with suppliers, service providers, contractors, and building management on office-related matters.
  • Support management with business correspondence, filing systems, meeting arrangements, and internal coordination.
  • Ensure office processes and administrative workflows are organised, practical, and effective.
  • Provide financial and administrative support to the project and operations teams where required.
  • Track payments, project claims, variation support documents, and subcontractor / supplier billing records.

Job Requirements

  • Diploma or Degree in Accounting, Finance, Business Administration, or equivalent.
  • Minimum 4-5 years of relevant working experience, preferably in the interior design, fit-out, renovation, construction, or project-based industry.
  • Strong knowledge of full set accounts, AP / AR, bank reconciliation, month end closing, budgeting, cash flow monitoring, and financial reporting.
  • Experience in handling payroll, CPF submission, GST reporting, tax matters, audit preparation, and statutory compliance.
  • Familiar with office administration, vendor coordination, documentation control, insurance matters, licence renewals, and general office management.
  • Proficient in Microsoft Office, especially Excel, Word, and PowerPoint, as well as accounting software.
  • Able to read, understand, and manage financial and administrative documentation with strong attention to detail.
  • Able to communicate effectively in English and Chinese to liaise with Chinese speaking clients, contractors, suppliers, and vendors.
  • Strong organisational, analytical, and problem-solving skills.
  • Able to work independently, manage multiple responsibilities, and meet deadlines in a fast-paced environment.
  • Responsible, meticulous, proactive, and able to maintain a high level of confidentiality.
  • Good interpersonal and coordination skills, with the ability to support management and work closely with project, admin, and operations teams.
  • Commercial awareness and practical understanding of project-based business operations.
  • Positive working attitude, initiative, and willingness to take ownership of assigned responsibilities.
  • Ability to improve systems, streamline processes, and strengthen workflow efficiency.

Working Hours

Monday to Friday, 9:00am to 6:00pm
