About the role
We are looking for a dependable and proactive Accounts & Office Administrator to support our client, a high growth technology company. You will be responsible for ensuring smooth daily office operations, providing administrative support, and assisting with key accounting functions. A high level of confidentiality, strong organizational skills, and a positive attitude are essential.
Key Responsibilities
Office & Administrative Support
- Provide confidential administrative support to the Director and senior management.
- Ensure smooth daily office operations and maintain a professional environment.
- Serve as the first point of contactanswer phones and welcome visitors.
- Manage office supplies, pantry setup, courier services, and cleaning coordination.
- Organize monthly staff lunches, internal events, and special occasions (e.g., gifts/flowers).
- Coordinate office repairs and maintenance with vendors and building management.
- Handle building access requests and gym benefit coordination.
- Maintain filing systems and assist with asset tracking and yearly office audit.
- Arrange travel and accommodation as needed.
- Support miscellaneous office tasks as required.
Accounts & Financial Support
- Oversee core accounting activities, including accounts payable (AP), accounts receivable (AR), and reconciliation tasks.
- Support general ledger (GL) posting and reconcile account balances.
- Ensure timely and accurate month-end closing processes.
- Liaise with external auditors and banks as necessary.
- Prepare and raise invoices, update payment records, and manage payment schedules.
- Carry out banking errands as needed.
- Maintain a well-organized accounting filing system.
- Manage the Fixed Asset Register and ensure accurate asset tracking.
- Perform additional accounting duties as assigned.
Requirements
- Minimum 5 years experience in office administration, office management, or administrative support.
- Familiarity with purchase order processes is a plus.
- Excellent interpersonal, communication, and organizational skills.
- Strong technical proficiency with Microsoft Office and Mac systems.
- Highly detail-oriented with excellent time-management abilities.
- Able to work collaboratively and adapt to changing needs.
- Friendly, approachable, and enthusiastic attitude with a team-oriented mindset.
