Job Summary
The Accounts & Admin Executive / Corporate Support Officer will manage full sets of accounts and provide comprehensive administrative support, ensuring accurate financial reporting, efficient office operations, and effective stakeholder engagement.
Responsibilities
Accounting
- Manage full sets of accounts including Accounts Payable, Accounts Receivable, General Ledger, journal entries, and bank reconciliations to ensure accurate financial records.
- Perform month-end and year-end closing activities and prepare financial statements for audit compliance.
- Prepare monthly management reports to support financial decision-making.
- Process petty cash, staff claims, supplier payments, and receipts accurately and timely.
- Prepare and submit GST returns in compliance with regulatory deadlines.
- Maintain schedules for prepayments, accruals, and fixed asset depreciation to ensure accurate accounting records.
- Liaise with external auditors, tax agents, and corporate secretarial service providers to facilitate audits and compliance.
- Monitor outstanding receivables and follow up on billing discrepancies and payment collections to optimize cash flow.
- Prepare and monitor profit and loss projections for projects, events, and activities to support budgeting and financial planning.
Administration
- Support membership renewal and recruitment activities, including onboarding new members to maintain membership engagement.
- Coordinate projects, events, and activities by managing attendees, sponsors, volunteers, suppliers, vendors, and stakeholders to ensure smooth execution.
- Manage team and project calendars, schedule meetings, and coordinate appointments to optimize time management.
- Produce and distribute detailed minutes of meetings, reports, and presentations to ensure clear communication.
- Handle calls, emails, and correspondences professionally to maintain effective communication channels.
- Maintain and manage the organisation's online and physical filing and records management systems for efficient information retrieval.
- Maintain and manage membership and stakeholder records and databases to ensure data accuracy.
- Manage membership and stakeholder communications, including social media and website content, to enhance engagement.
- Process claims, payroll, and maintain accurate employee records to support HR operations.
- Assist in implementing HR policies and ensure compliance with company procedures to uphold organisational standards.
- Provide general office administrative support and undertake other ad hoc duties as assigned to support team operations.
Required competencies and certifications
- Diploma in Accountancy, ACCA, LCCI, or equivalent qualifications.
- At least two (2) years of relevant experience in accounting, finance, administration, and human resources.
- Good understanding of accounting principles, financial processes, financial governance, and relevant regulatory and compliance requirements.
- Proficient in Microsoft Office, particularly Excel and PowerPoint.
- Proficient in QuickBooks and Canva.
- Strong time management skills to multitask, prioritise, and follow through on multiple projects and tasks simultaneously.
- Strong interpersonal skills to work effectively with internal and external stakeholders.
- Proactive and critical thinker with a collaborative, team-oriented mindset.
- Ability to work independently with minimal supervision.
- Strong organisational, analytical, and problem-solving skills.
- Excellent verbal and written communication skills in English.
