Job Description

We're looking for a meticulous and proactive individual who can handle both finance operations and executive support. This hybrid role combines accounting, HR administration, and executive assistance perfect for someone who enjoys variety and thrives in a dynamic, fast-paced environment.

You'll ensure our financial records, payroll, and employee matters are in order while supporting the leadership team in daily operations.

Key Responsibilities

Accounting & Finance (60%)

  • Manage full set of accounts, including AP, AR, GL, and bank reconciliations.
  • Prepare monthly financial reports, balance sheets, and cash flow statements.
  • Handle CPF submissions, payroll processing, and staff reimbursements.
  • Issue invoices, track collections, and process vendor payments.
  • Support annual audit, GST and tax filing, and liaise with auditors or external accountants.
  • Monitor project budgets, expense allocations, and cash flow.
  • Maintain accurate accounting records and ensure compliance with accounting standards.

HR & Operations Administration (35%)

  • Oversee employee onboarding and offboarding processes, including contract preparation and system setup.
  • Manage employment matters such as confirmation, renewals, and personal data updates.
  • Administer leave tracking and attendance records.
  • Maintain and update employee files and HR documentation.
  • Handle government portal submissions (CPF, IRAS, MOM, MyCareersFuture, etc.).
  • Manage vendor portals (e.g. GeBIZ, vendors@Gov, client procurement systems).

Executive Assistance (5%)

  • Provide administrative support to the CEO / CFO.
  • Support internal communications, document organisation, and project tracking.

Requirements

  • Diploma or Degree in Accounting, Business Administration, or related field.
  • 24 years of relevant experience in accounting, HR, or executive support.
  • Proficient in accounting software (e.g. QuickBooks) and MS Excel / Google Sheets.
  • Familiar with Singapore CPF, IRAS, and MOM processes.
  • Excellent attention to detail, confidentiality, and time management.
  • Strong interpersonal and communication skills.
  • Able to work independently, prioritise multiple tasks, and meet deadlines.
