Account & HR Executive

Zenith Facility Services is a Singapore cleaning and integrated facility management company. We hold ISO 9001, ISO 14001 and ISO 45001 certification and bizSAFE Star, and we are NEA-licensed. We run around numerous live contracts across commercial buildings, premium residential developments, preschools, healthcare-adjacent facilities and public sector premises.

We are into the build stage. The systems, controls and reporting that will carry the next phase of growth are being put in place now - and this role is central to that.

Why this role is worth your time

This is the finance role for someone who wants to own something, not sit in a lane.

. You will run the full set of accounts yourself. No fragmented AP-only or AR-only silo - you see the whole picture, from invoice to management accounts to the audit file.

. You report directly to the CEO. Your analysis reaches the person making the decision on the same day you produce it, not three layers later.

. You will shape how we do things. Our processes are young enough that a good idea gets implemented in weeks, not quarters. If you have ever been told that is not how we do it here, this is the opposite of that.

. The payroll is genuinely interesting. Progressive Wage Model grading across cleaning sector roles, overtime and allowance structures, CPF and SDL, work pass holders, and timesheet reconciliation across roughly 20 sites. If you have built this expertise, here it is valued rather than treated as admin.

. You will see project-level economics. We cost and price contracts bottom-up. Your P&L by contract directly informs what we bid, what we walk away from, and where we are leaking margin.

. Essential services, recurring revenue, certified and licensed. This is a stable base to build a career on.

What you will own

1) Finance and accounting

. Run the full set of accounts - AP, AR, GL, bank reconciliations, and month-end and year-end close.

. Produce monthly management accounts and the reporting pack for leadership, on a fixed and reliable timetable.

. Perform balance sheet reconciliations, investigate variances, and keep the financial records clean and defensible.

. Prepare audit schedules and act as the main point of contact for our external auditors through to sign-off.

. Maintain compliance with Singapore Financial Reporting Standards and coordinate statutory filings with ACRA and IRAS, including GST.

Commercial and decision support

. Produce project-level P&L by contract, so we know which sites make money and which do not.

. Run variance analysis on financial performance and tell us plainly what is driving it.

. Build the annual budget, rolling forecasts and cash flow projections with the leadership team.

. Monitor AR aging, drive collections, and manage credit control so cash flow stays healthy.

. Bring a commercial view to tender costings and pricing decisions.

Payroll

. Process monthly payroll end to end - salaries, overtime, allowances, deductions and statutory contributions - accurately and on time, every time.

. Verify attendance, timesheets and leave records with the operations team before each run.

. Ensure compliance with the Employment Act, Progressive Wage Model requirements for the cleaning sector, CPF, SDL and IR8A submissions.

. Handle payroll queries from frontline staff with patience and discretion. For many of our team, you are the person they trust on their pay.

2) Making things better

. Improve accounting processes and strengthen internal controls - you will find plenty worth fixing.

. Document and maintain finance SOPs so the function is not dependent on one person's memory.

. Support ad hoc projects, business planning and system improvements as we grow.
