Job Summary
The Accounts Executive is responsible for managing the full spectrum of accounting and finance functions, ensuring timely financial reporting, accurate record keeping, regulatory compliance, and effective cash flow management. The role will support the company's operations as a medical device distributor, including government hospital invoicing, tender documentation, inventory-related financial reconciliation, sales commission calculations, and audit requirements.
Accounts Receivable (AR)
Prepare and issue customer invoices, debit notes and credit notes.
Monitor customer collections and follow up on outstanding debts.
Reconcile customer accounts and statements.
Prepare aging reports and highlight overdue accounts for management action.
Coordinate with sales team on collection matters and payment disputes.
Accounts Payable (AP)
Verify supplier invoices and supporting documents.
Process supplier payments in a timely manner.
Prepare payment schedules and cash flow forecasts.
Reconcile supplier statements and resolve discrepancies.
General Accounting
Maintain full set of accounts and accounting records.
Prepare journal entries, accruals and adjustments.
Perform monthly bank reconciliations.
Assist in month-end and year-end closing activities.
Prepare management reports and financial schedules.
Ensure accounting records are accurate and up to date.
Compliance, Audit & Tax
Assist in statutory audit and tax matters.
Prepare supporting schedules and audit documentation.
Ensure compliance with accounting standards and regulatory requirements.
Support SST and other statutory submissions where applicable.
Medical Device Distribution Support
Manage government hospital invoicing and payment tracking.
Support tender-related financial documentation and submissions.
Perform consignment stock and financial reconciliation.
Coordinate with operations and sales teams on inventory-related transactions.
Assist in import, shipping and customs documentation from a finance perspective.
Calculate monthly sales commissions and incentive payouts.
Systems & Process Improvement
Maintain accurate records in AutoCount.
Prepare reports and analysis using Microsoft Excel.
Review and improve finance-related processes and controls.
Support implementation of finance process improvements and automation initiatives.
Diploma or Bachelor's Degree in Accounting, Finance, ACCA, CIMA or equivalent.
Minimum 5 years of relevant accounting experience.
Experience handling full set accounts.
Familiarity with AutoCount accounting software is preferred.
Strong Microsoft Excel skills.
Experience in distribution, healthcare, medical devices, pharmaceutical or related industries is an advantage.
Knowledge of government hospital billing, tenders and statutory compliance will be an added advantage.
Strong attention to detail and ability to work independently.
Good communication and stakeholder management skills.
