What youll do:

As an Account Documentation Analyst, you will be instrumental in supporting the private wealth management divisions mission to deliver exceptional client experiences through rigorous documentation review and efficient account administration.

  • Review comprehensive documentation packs from Sales teams, including Client Identification Program documents, Account Application or Update forms, Investment Profile Questionnaires, Tax documents, and other required materials.
  • Communicate promptly and clearly with Sales regarding any missing documentation, inconsistencies in information, or incorrect data identified during the review process.
  • Ensure precise data entry into onboarding or account maintenance workflow tools based on submitted documentation and Know Your Customer (KYC) information.
  • Maintain accurate records of account documentation and relevant approval files within internal databases while monitoring the timely receipt of outstanding documents.
  • Liaise effectively with Sales teams and other stakeholders to resolve issues related to missing or inconsistent documentation for both new account onboarding and existing account updates.
  • Handle various administrative tasks such as document scanning, data entry checks, first-level case reviews, policy or procedure updates, SharePoint updates, and management reporting as needed.
  • Support compliance efforts by adhering strictly to internal policies and regulatory requirements throughout all stages of account management.
  • Adapt quickly to ad-hoc requests or urgent administrative needs that arise within the teams remit.
  • Contribute positively to projects aimed at improving processes within the Account Management Team by providing feedback and participating in discussions.
  • Demonstrate sensitivity when handling confidential client information and ensure all actions align with best practices in data protection.

What you bring:

The ideal candidate for the Account Documentation Analyst position brings substantial experience from banking or financial services settings where precision in handling sensitive client information is paramount.

  • Demonstrated knowledge of Client Identification Program (CIP) requirements and KYC documentation processes within financial services environments.
  • Familiarity with complex account structures including individual accounts, personal holding companies (PHCs), trusts, funds, subsidiaries of listed companies, and operating vehicles.
  • Excellent verbal and written communication skills that enable clear interaction with colleagues across departments as well as external stakeholders.
  • Proven ability to adapt efficiently when managing multiple tasks or responding to ad-hoc administrative requests under tight deadlines.
  • Willingness to learn new procedures quickly while maintaining high standards of accuracy in all aspects of documentation handling.
  • Experience with SOW corroboration (Source of Wealth) and TNW substantiation (Total Net Worth) is considered advantageous but not mandatory.
  • Proficiency in Chinese language (speaking and reading) is highly desirable due to the nature of client interactions involved in this role.
  • Bachelors degree or equivalent education/experience is additional qualifications in finance or compliance are beneficial.
  • At least five years professional experience within banking or financial services sectors is expected for success in this position.
  • Prior exposure to private banking environments or direct involvement in onboarding/KYC/SOW review processes would be an asset.
